Dave Sackett: Hyperbots ships with a plug-and-play connector for Epicor Kinetic, the cloud version. At Persimmon, we use the on-premise version. Using Epicor’s REST v2 endpoints or Service Connect for older builds, the connector gives copilots secure read-write access to companies, sites, suppliers, parts, receipts, AP invoices, payments, and any user-defined fields. Epicor remains the system of record. Hyperbots sits on top and removes the manual keyboard work that slows down finance and supply chain teams.

Jace Kitchen: How long does a typical Hyperbots rollout take on Epicor?

Dave Sackett: Typically between 3 and 5 weeks. Week one is about connecting the copilot to the company database, mapping fields, replaying golden transactions, and ensuring everything matches. Then comes user acceptance testing and the production cut-over, all without any custom coding.

Jace Kitchen: How often does Hyperbots sync data with Epicor?

Dave Sackett: We use a standard setup that can be tweaked as needed. Company-site structures and Chart of Accounts (COA) sync weekly. Suppliers, parts, and GL codes update daily. PO receipts and supplier invoices sync hourly, almost in real-time. Write operations like POs, invoices, journal entries, and accruals happen in real time. You can throttle the frequencies in the Hyperbots dashboard depending on data volume and business needs.

AI Copilots for Epicor ERP: Automating Core Finance Workflows

Jace Kitchen: How does each co-pilot automate specific Epicor tasks?

Dave Sackett:

  • Invoice Processing Copilot: Reads PDFs from our Outlook mailbox, performs a three-way match with the PO and receipt, auto-generates GL codes and tax, and posts the AP invoice in Epicor—about 80% straight through.

  • Accruals Copilot: Finds PO receipts without invoices, books month-end journal entries, and auto-reverses them once the invoice arrives.

  • Procurement Copilot: Creates POs from contracts, checks budgets and rules, routes approvals in Teams, and converts requisitions into POs.

  • Vendor Management Copilot: Validates tax IDs and bank details, automates onboarding, and updates the supplier master with EFT data.

  • Payments Copilot: Balances early pay discounts with the cost of capital, builds payment proposal batches, generates NACHA/SEPA files, posts clearing entries, and auto-reconciles them against bank statements.

Dave Sackett: After every write, there's an instant read-back. Errors like closed fiscal periods or duplicate document numbers trigger three auto-retries. If it still fails, the item lands in the Integration Exceptions queue. Finance gets a Teams alert, so nothing fails silently.

Security, Data Integrity, and Customization in Hyperbots Epicor Integration

Jace Kitchen: What safeguards exist for security, data integrity, and customization?

Dave Sackett: The platform is SOC 2 Type II compliant and ISO 27001 certified. Data is encrypted in transit and at rest. Access keys inherit Epicor’s security groups with least-privileged access. No passwords are stored.

User-defined fields and tables are auto-discovered and fully supported with read/write capability. The platform also respects multi-site, multi-currency ledgers and provides a single dashboard to monitor integration health across all Epicor companies.

Supporting Custom Logic in Epicor ERP

Jace Kitchen: Epicor environments can be heavily customized. How do the co-pilots handle that?

Dave Sackett: During onboarding, we pull Epicor metadata. Custom fields and logic become mapping targets. The AI learns from historical postings how to populate them. If there are business process workflows, the connector triggers them just like a human user would. So, custom logic still works as intended.

Ensuring Accuracy of Transactions in Epicor ERP

Jace Kitchen: How do you ensure that each transaction posted into Epicor is accurate?

Dave Sackett: After posting an invoice, PO, journal entry, or payment, the connector re-reads the record and compares all fields, including amount, currency, company, and posting date. Only a perfect match gets a green check. If not, it retries or escalates. For new installations, we still have a human to validate the bot's work before final submission.

Hyperbots Support During Epicor Upgrades and Migrations

Jace Kitchen: What happens during an Epicor upgrade or migration?

Dave Sackett: Each connector is versioned. During an upgrade or ERP migration, we enable dual-write mode to post to both systems until cutover. The copilots keep running with no data loss, as long as the Epicor connection is live.

Jace Kitchen: How does Hyperbots handle on-premise Epicor environments?

Dave Sackett: At Persimmon, we run on-premise Epicor. We deploy a lightweight agent on the Epicor app server. It opens a secure outbound HTTPS tunnel to Hyperbots, with no inbound firewall changes needed. The agent uses Epicor REST or Service Connect APIs locally, so data never leaves the network unencrypted and remains under tight IT control.

Jace Kitchen: How is Hyperbots’ agentic AI on Epicor different from other AI add-ons?

Dave Sackett: I've worked with invoice OCR tools in the past, but they were far simpler. Most add-ons just do OCR or basic workflows. Hyperbots delivers agentic workflows—AI that acts.

It raises requisitions, posts journals, reverses accruals, requests supplier credit memos, reconciles payments, closes POs, and verifies taxes. Finance-trained models can reach 99.8% accuracy and deliver 80% productivity gains, compared to maybe 30% from traditional RPA/OCR tools.

You also get an immutable audit trail for every action. The leap from OCR to AI agents is huge, and I expect that trend to continue. AI can now perform tasks that used to require a person. It's a powerful support tool for our AP team.
