Epicor AP Automation vs Hyperbots: Which Fits Kinetic?
Epicor AP Automation vs. Hyperbots: Features, Capabilities & Key Differences

Few Epicor Kinetic teams start an AP project from zero. Supplier invoices already land in Kinetic, many teams already route them through Epicor ECM, and Epicor keeps adding AI across its portfolio, from Intelligent Data Capture to the Prism agents described in our guide to Epicor AI, Prism, Edge Agent and Automation Studio. The real question behind most searches for Epicor AP automation is narrower: is the Epicor setup you already have, or could license, enough, or is a finance-specific AI layer worth adding?
This comparison answers that question feature by feature, using Epicor's and Hyperbots' own public documentation, and says plainly where a capability could not be confirmed.
Epicor AP Automation vs. Hyperbots: What's the Difference?
This is not a contest between two ERPs. Epicor Kinetic is the ERP and the system of record: it holds suppliers, purchase orders, receipts, AP invoices and the general ledger. Epicor's AP automation sits in and around it, combining Kinetic's own AP functionality with separately licensed products such as Epicor ECM and its Intelligent Data Capture (IDC) module.
Hyperbots is a finance-specific AI platform that works on top of Kinetic. Its HyperAGENTS read master data and transactions from Epicor, process invoices, and write finished records back through Epicor's own validation and posting, so Kinetic stays the system of record.
The comparison is therefore between two approaches to the same AP lifecycle: Epicor's native and add-on tools on one side, and an AI execution layer integrated with Kinetic on the other. Many teams end up using parts of both.
What Does Epicor Already Offer for AP Automation?
Epicor's AP capabilities come from several products, each licensed and configured differently. Treating them as one bundle is the most common evaluation mistake.
Epicor Kinetic (core AP). Epicor lists accounts payable within Epicor Financials Core. Kinetic records supplier invoices against purchase orders and receipts in AP Invoice Entry, posts them according to configured GL controls, and offers Logged Invoice Entry, where invoices are recorded on arrival and approved or voided before processing. Our guide to the native procure-to-pay flow in Kinetic walks through each screen.
Epicor ECM AP Automation. Epicor's ECM AP Automation page describes capturing, indexing, routing and approving invoices, automatic two- and three-way matching to identify errors, a two-way API that populates ERP fields, audit trail and retention controls, and SaaS or self-hosted deployment. ECM is the product many installed customers still call DocStar.
Epicor IDC. IDC works with ECM, using AI-driven classification and extraction on documents from scanners, email or watched folders, with a dashboard of verification queues.
Epicor Prism. Epicor's Prism agents add AI inside Kinetic. Its Smart Data Capture Agent is designed to extract and validate complex documents across AP and compliance workflows; availability varies by region, release and licence.
Epicor Automation Studio. A separately licensed integration and workflow platform for connecting Kinetic to other applications. It moves data between systems; it is not an invoice-processing tool on its own.
Mapped to the AP lifecycle, ECM and IDC cover the front end (capture, extraction, routing, matching and approval), while Kinetic is where invoices are recorded, posted and paid. For a team with stable supplier formats and approval workflows that already perform well, that combination may be enough, a point our review of Epicor ECM (DocStar) for AP covers in more depth.

Epicor AP Automation vs. Hyperbots: Feature-by-Feature Comparison
The table compares an Epicor AP setup (Kinetic plus ECM and IDC where licensed) with Hyperbots integrated with Kinetic. "Not confirmed" means the capability was not found in the public documentation reviewed, not that it is unavailable.
Capability | Epicor AP setup | Hyperbots with Epicor Kinetic |
Invoice discovery and capture | ECM/IDC captures from scanners, multifunction devices, email and watched folders | Picks up invoices from email, drives and portals and filters out non-invoices |
Invoice extraction | IDC classifies documents and extracts key fields; Prism's Smart Data Capture Agent also targets AP documents | Pre-trained models extract header and line-item fields, including multi-page and multi-invoice PDFs |
Validation and duplicate detection | IDC applies real-time data validation; Epicor says ECM AP helps eliminate duplicate payments. Detailed duplicate logic: not confirmed | Field, math and anomaly checks; duplicate detection compares invoice fields and PO data against history |
PO and receipt matching | ECM AP performs automatic two- and three-way matching; IDC matches against POs or receipts | Configurable 2-way, 3-way or no-match strategies across up to 140 fields, with mismatch explanations |
GL coding | Kinetic applies configured GL controls at invoice entry. Automated coding suggestions for non-PO invoices: not confirmed | GL recommender learns from posting history and user corrections and codes non-PO lines |
Approval workflows | ECM approval workflows; Kinetic logged-invoice approval | Configurable approval and exception workflows by business unit, category or cost center |
Exception handling | Matching flags errors; IDC shows verification queues. Routing depends on configuration | Exceptions go to people with reasons; failed writes are retried, then queued with an alert |
ERP posting / write-back | Two-way API populates ERP fields; whether invoices post automatically depends on configuration | Writes through Epicor's own validation and posting, waits for posting confirmation, reads records back |
Auditability | ECM audit trail, ValiDate authenticity controls and retention policies | Audit trail for every AI and human action; source PDF can be attached to the Epicor invoice where enabled |
Implementation | ECM as Epicor-hosted SaaS or self-hosted; IDC on-premises or cloud; scope depends on licensing and partner configuration | Pre-built Epicor connector for cloud and on-premise Epicor; typically 6–8 weeks |
Read across the rows and the difference is less about whether a capability exists than where the work stops. Both approaches capture, extract and match. Epicor's tools are organized around documents and configured workflows that route work to people. Hyperbots is organized around agents that carry an invoice through 3-way matching, GL coding, posting and confirmation, and pass people only the exceptions. Which matters more depends on where your AP team's hours actually go.
Invoice Accuracy, Straight-Through Processing and Exception Handling
Feature lists show what a product can do. Outcome measures show how much work is left for your team. Seven are worth tracking:
Field extraction accuracy for header and line-item data
Straight-through processing (STP) rate: invoices posted in Kinetic with no human touch
Manual touchpoints per invoice
Matching accuracy and exception rate
Time from invoice receipt to ERP posting
Exception resolution time
Posting and audit traceability from source document to ledger entry
Hyperbots publishes 99.8% invoice-field extraction accuracy, from models pre-trained on 35 million invoice fields, and up to 80% straight-through processing, with the remaining invoices flagged for human review. Epicor says IDC can reduce manual data entry by up to 90%. These are vendor-reported figures that measure different things, so neither proves overall superiority.
Learning over time matters too. In a Hyperbots product-insight interview, Kelly O'Neill, CEO of KMONE Ventures and a Hyperbots go-to-market partner, described line-level GL coding accuracy rising from 94% to 99% after about two months of learning from user overrides, and invoice STP moving from 74% to 83% in a quarter. That is one team's reported experience, not a guarantee.
The fairest test uses your own invoices. Give both providers the same representative sample: standard PO invoices, non-PO invoices, unusual layouts, partial receipts, price discrepancies, duplicates and invoices with missing information. Measure all seven numbers on each, and count STP as invoices posted with zero touches rather than fields extracted, since the constraints on straight-through processing usually appear after capture.

How Hyperbots Works Alongside Epicor Kinetic (with a Persimmon Technology Case Study)
The Hyperbots Epicor connector keeps Kinetic as the authoritative ERP. In practical terms, the flow looks like this:
Invoice arrives → Hyperbots processes and validates → matching and GL coding → Epicor validation and posting → confirmation or exception review
Reads from Epicor: vendors, items, GL accounts, companies, payment terms, purchase orders and receipts, synchronized incrementally so only changed records are processed.
Prepares the invoice: the Invoice Processing HyperAGENT checks that essential fields are present, codes non-PO lines, matches PO lines against goods receipts, and handles PO and non-PO lines on the same invoice.
Writes through Epicor's process: invoices go through Epicor's own validation and posting, and success is reported only once Epicor confirms the posting.
Cleans up and surfaces errors: if a step fails, records created during that attempt are rolled back, and Epicor's underlying error message is shown rather than a generic failure.
Adapts to your setup: customer-specific field mappings handle differences such as company codes and GL structures through configuration.
Not every invoice posts untouched. Matching tolerances and coding rules are configurable, and human-in-the-loop controls route exceptions and approvals to the right people.

Case study: Persimmon Technology on Epicor
Persimmon Technology runs Epicor on-premise. In a recorded interview with Hyperbots, Dave Sackett, VP of Finance, explained that the Invoice Processing HyperAGENT reads PDFs from the AP Outlook mailbox, performs a three-way match with the PO and receipt, generates GL codes and tax, and posts the AP invoice in Epicor, with about 80% going straight through. Persimmon reports cutting AP data entry by 80%.
Controls were central. After every write, the connector reads the record back and compares amount, currency, company and posting date. Errors such as a closed fiscal period trigger three automatic retries; anything still failing lands in an Integration Exceptions queue with a Teams alert to finance. On new installations, a person validates the work before final submission. For the on-premise build, a lightweight agent on the Epicor app server opens an outbound HTTPS tunnel, so no inbound firewall changes were needed.
Persimmon went live in three to five weeks, faster than usual. For ERPs where Hyperbots already has API connectors, including Epicor, implementation typically takes six to eight weeks.
A second Epicor Kinetic customer, a Boston-based semiconductor robotics manufacturer processing more than 30,000 invoices a year, reports reducing invoice processing time from one week to one day and a 50% optimization of human bandwidth. Both results are specific to those deployments.
Which AP Automation Approach Fits Your Business?
Epicor's existing AP capabilities may be a suitable fit when:
Your current Kinetic and ECM setup meets your requirements
Existing capture, matching and approval workflows perform adequately
The main need is to extend or configure current workflows
You want to maximize your existing Epicor investment
Hyperbots is worth evaluating when:
Your team still keys significant invoice data by hand
Supplier invoices vary widely in format or complexity
Matching and non-PO coding create substantial review work
AP spends considerable time investigating exceptions
You want finance-specific AI integrated with Epicor
Both may be appropriate when:
Epicor ECM remains useful for document management or established workflows
AI-driven processing is needed for selected AP stages
You want to extend, rather than replace, your ERP and existing investments
Choosing the Right Epicor AP Automation Approach for Kinetic
Epicor's own tools, Kinetic's AP functionality and, where licensed, ECM and IDC, may meet many teams' requirements, especially where supplier formats are stable and workflows already perform well. Hyperbots offers another option for teams that want finance-specific automation to carry supported invoices through matching, coding, posting and confirmation in Kinetic, with exceptions routed to people. It is a complementary layer, not an ERP replacement, and Kinetic stays the system of record either way.
The deciding evidence is your own invoice mix. Book a Hyperbots demo to see how the Invoice Processing HyperAGENT works with Epicor Kinetic on your AP workflows.
Frequently Asked Questions
Does Epicor Kinetic have built-in AP automation?
Kinetic includes core AP functionality: supplier invoice entry against POs and receipts, logged-invoice approval, GL posting and payments. Automated capture, extraction and approval routing typically come from separately licensed products such as Epicor ECM and IDC, or from third-party tools integrated with Kinetic. What is available depends on your release, licences and configuration.
Is Epicor ECM part of Kinetic or a separate product?
It is separate. Epicor lists document management (ECM) as an add-on to Epicor Financials, and ECM AP Automation and IDC are their own products with their own deployment choices. Epicor does not publish ECM pricing on its product pages, so confirm licensing and implementation scope with Epicor or a partner.
What is the difference between Epicor ECM and Hyperbots?
Epicor ECM is a content management and workflow platform: it captures, stores and routes documents, and its AP module adds capture, matching and approval workflows. Hyperbots is a finance-specific AI platform whose agents extract, validate, match, code and post invoices into Kinetic, confirming each posting. ECM's strength is document management; Hyperbots focuses on the AP work after capture.
Can Hyperbots run alongside Epicor ECM instead of replacing it?
Yes. Many teams keep ECM as their document repository for retention and cross-department content, while Hyperbots handles invoice processing through its Epicor connector. The two serve different purposes, so a combined setup is common. Decide during evaluation which system owns each step, such as capture and approvals, to avoid duplicate workflows.
Can I compare Epicor's "up to 90%" figure with Hyperbots' 80% STP?
Not directly. Epicor's figure refers to reduced manual data entry from IDC, while Hyperbots' 80% refers to invoices processed without human touch, alongside a separate 99.8% extraction accuracy claim. Both are vendor-reported. A side-by-side test on the same sample of your own invoices is the only reliable comparison.
How long does it take to implement Hyperbots with Epicor Kinetic?
For ERPs where Hyperbots already has API connectors, including Epicor, implementation typically takes six to eight weeks, covering connection, field mapping, testing and go-live. Persimmon Technology's on-premise Epicor rollout took three to five weeks, a faster-than-usual case. Timelines depend on entities, customizations and workflows in scope.
